Create a reliable asset register

Record chillers, pumps, cool rooms, controllers, fonts, regulators and key dispensing equipment at each site. Include model, serial number, location and condition.

An asset register prevents every service visit starting from zero and helps the group identify unsupported or high-risk equipment.

Set group standards with site flexibility

Use a common minimum standard for cleaning, inspection, temperature records and defect reporting. Adjust frequency for volume, equipment age and local conditions.

Standardisation should improve control, not ignore genuine site differences. Record why a venue requires a different interval or task.

Use one priority system

Classify defects as urgent, planned repair or capital replacement. Define who can approve each level and the response expected.

Consistent priorities prevent one manager treating a minor issue as an emergency while another delays a failure-critical repair.

Track repeat faults and cost

Analyse spend by asset, site and fault category. Multiple small calls on one chiller may justify replacement even when each repair appears reasonable in isolation.

Measure product wastage and lost-trade events where possible. Maintenance cost alone understates the impact of unreliable beer systems.

Forecast capital work

Condition reports should identify likely replacement needs over the next twelve to thirty-six months. Grouping planned work can improve procurement and scheduling.

Do not wait for every asset to fail. Replace equipment based on condition, supportability and business interruption exposure.

Appoint clear ownership

Nominate a group contact and site contact for approvals, access and service records. Establish an escalation path for out-of-hours failures.

A coordinated contractor across beer, refrigeration, HVAC and electrical systems can further reduce handballing between vendors and consolidate reporting.
