Confirm the fault and remaining condition

Do not decide from the latest repair quote alone. Assess the compressor, heat exchangers, controls, pumps, fans, refrigerant circuit and physical condition of the whole unit.

A repair can be sound when the failed component is isolated and the remaining plant is serviceable. It is poor value when it merely exposes the next major failure.

Review repair history

List repairs, call-outs and downtime over the previous two to three years. Repeated small failures can cost more than one visible major repair.

Include product loss, emergency labour and management disruption. Accounting records often capture only the contractor invoice.

Check parts and refrigerant support

Older or imported equipment may depend on slow or unavailable proprietary parts. Refrigerant type and component compatibility also affect future serviceability.

Ask whether critical parts are locally stocked and whether the manufacturer or distributor provides competent technical support.

Test current and future capacity

A chiller that was correctly sized for the original venue may be undersized after added taps, longer runs or increased production. Repairing it will restore only the old capacity.

Document expected growth and peak conditions. Replacement is the opportunity to correct a capacity or hydraulic limitation.

Price downtime risk

Estimate the gross profit at risk during a peak-period failure and the realistic lead time for repair. A high-consequence asset justifies a lower tolerance for declining reliability.

Consider temporary cooling, standby pumping or staged equipment where business interruption exposure is substantial.

Make the decision on whole-of-life value

Compare the repair cost and probable remaining life with replacement cost, warranty, energy use and improved supportability. Avoid simple rules based only on percentage of replacement price.

Record the decision and assumptions. If repairing, set a replacement trigger so the same debate is not repeated after the next failure.
